Start a Prestart

Record a plant or vehicle prestart safety check before the machine is used for the day — answer the checklist, deal with any open defects, confirm the meter reading, and log it against the job.

Who can use it — Anyone with prestart access (typically operators and supervisors). You need "view prestarts" permission to open the page, and "create prestarts" permission to actually submit one — so a viewer may be able to see the form but not lodge it. See Roles & Permissions for how access is set.

Where to find it — Site Operations → Start Prestart in the sidebar. On a phone it's also the quickest tile from your daily work; submitted prestarts are collected on your My Work Log under the Prestarts tab.

Before you start — a few things must already be set up by your workspace, or the form will stop you:

The asset exists and is a machine or vehicle (attachments can't be prestarted on their own).
A prestart checklist template is assigned to the asset or its category — otherwise you'll see "No checklist template is assigned to this asset." and can't submit. Templates are built in Checklist Templates and attached in Asset Configuration.
If the machine carries a risk assessment, you must be signed onto the current version first (covered below).

How to fill one out

(Optional) Reuse your last machine. If you've done a prestart before, a "Same as last prestart" button appears at the top showing the machine and job — tap it to load that asset instantly instead of searching.
Pick the asset. Choose a Category to narrow the list (optional), then select the Asset. As soon as you pick one, the form loads that machine's open defects, checklist, current meter reading, and its current job.
Clear the safety banners if any appear — risk assessment sign-on, float transport, or an allocation check (see the sections below). These sit above the checklist and some of them block submission until actioned.
Confirm the meter reading. The Meter reading (hours or odometer) pre-fills from the machine's last known reading. Enter the current figure — it can't be lower than the recorded reading. If you overtype it by mistake, use the "Reset to …" link next to the field.
Check the job. The Project auto-fills from the machine's current allocation. Leave it if correct, or search and pick the right job — if it doesn't match where the machine actually is, the allocation check will prompt you (below).
Work through the checklist. Answer every question under Questions. A progress chip shows how many are left. Question types are pass/fail or yes/no/N.A., and some ask for a photo. You can't submit with unanswered questions, and any critical item you mark as failed requires a short description of the fault before it will save.
Add comments if needed (optional, free text).
Submit. The bar pinned to the bottom shows your status — "Pick an asset to start", "3 questions left", or "Ready to submit" — and the Submit Prestart button enables once everything's answered.

Defects — old and new

The Defects section is where prestarts feed the maintenance loop.

Existing open defects for the machine are listed automatically. For each, set the status to Still broken or Marked fixed. Marking something fixed requires a note ("How was it fixed?") so a manager can verify it.
New damage? Flip "Spotted new damage to report?" to add a one-off report with an optional Damage photo and details. Use this only for damage that isn't already covered by a failed checklist item.

Failed checklist items and reported damage become defects against the asset that managers follow up in the Service Hub. A prestart with an unresolved critical fault is recorded as not safe.

Risk assessment sign-on

If the machine has a current risk assessment and you haven't signed the latest version, a red "Risk assessment sign-on required" banner appears and the prestart is locked. Use View Risk Assessment to read it, then Sign Risk Assessment (enter your name and signature, tick that you've understood it). Once signed, the lock clears and you can submit. If the machine has no active risk assessment at all, you'll be told to ask a manager or safety lead to publish one in Plant Risk Assessments first.

Allocation check (machines)

If you pick a job that isn't where the machine is currently allocated, an Allocation check appears: the machine is allocated elsewhere, or to no job at all. If it really has moved, tick "This machine has moved to this job", set the Arrival date, and confirm which attachments are still on it (untick any that have come off — they'll be unpaired). This doesn't move the machine itself — it raises a pending allocation for a manager to approve in the Allocation Manager, and notifies them. Your prestart saves either way.

Float transport & greasing

Float transport notice — if the machine is booked onto a float (low-loader) within the next 48 hours, a warning shows the move details and you must tick that you understand it may not be available. Bookings come from the Float Manager.
Greasing — for machines that track greasing, a chip shows when it was last greased and a "Machine greased today" toggle lets you record it as part of the check.

What happens after you submit

The prestart is saved and you're taken to My Work Log → Prestarts, where you can see it in your history.
The machine's current reading is updated and its service status is recalculated from the new hours — this can flag it as due for service in the Service Hub.
Defect changes are applied, any new damage is logged, and — if you confirmed a move — a manager gets an allocation approval to action.

Tips & common mistakes

"No checklist template for this asset" means the machine (or its category) has no prestart template attached — a manager fixes this in Asset Configuration; it isn't something the operator can resolve on the spot.
Meter reading rejected? It can't be below the last recorded reading. Double-check you're reading hours vs kilometres correctly, then use the reset link if you fat-fingered it.
Marked a critical item as failed but can't submit? Critical fails need a description of the fault — add it and the block clears.
Wrong job on the machine? Don't force it — use the allocation check so the move is approved properly and attachments stay paired.
Signed onto the wrong/older risk assessment? You must sign the current version; if a new one was published, you'll be prompted to sign again.
